Our client is a well-established, patient-focused medical practice serving the Sonoma County community. As the practice continues to grow, they are seeking a dependable, detail-oriented professional to anchor the front office.

Position Overview

The Office Administrator serves as the first point of contact for patients and a central point of coordination for the practice's daily operations. This role blends front-desk patient interaction with administrative and light operational duties, and requires fluency in both English and Spanish to effectively serve the practice's diverse patient population.

Key Responsibilities
  • Greet patients warmly, check them in and out, and manage the flow of the waiting area.
  • Schedule, confirm, and reschedule patient appointments across multiple providers.
  • Collect and process patient payments and balances at time of service.
  • Serve as a bilingual liaison between Spanish-speaking patients and clinical staff, translating verbally and in written materials as needed.
  • Maintain accurate patient records in the practice's electronic health record (EHR) system, ensuring confidentiality and compliance with HIPAA standards.
  • Answer and route incoming calls, respond to patient inquiries, and manage referral requests.
  • Process incoming mail, faxes, and medical records requests.
  • Support billing staff with patient statement inquiries and account questions as needed.
  • Order and maintain front-office and basic clinical supplies.
  • Assist with special projects and other administrative duties as assigned by the practice manager.
Qualifications
  • Bilingual fluency in Spanish and English required — spoken and written.
  • 2+ years of experience in a medical office, clinic, or similar healthcare administrative setting preferred.
  • Working knowledge of EHR/practice management systems and general familiarity with medical terminology.
  • Understanding of HIPAA privacy requirements and commitment to maintaining patient confidentiality.
  • Strong interpersonal skills with a calm, professional, and empathetic demeanor toward patients.
  • Excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office and standard office equipment.
  • High school diploma or equivalent required; additional coursework in medical office administration is a plus.
Compensation & Benefits

Compensation is $25-$30 per hour, depending on experience. The practice offers paid time off and a supportive, team-oriented work environment.
