Position Background

We are looking for a motivated individual to join our team as a Property Coordinator for a Class A lab/office property in San Francisco, CA. This role is ideal for someone with experience or a strong interest in the commercial real estate industry. The Property Coordinator will report directly to our Senior Property Manager.

This is a dynamic role that will work closely with the firm's property management and Elevate

teams daily. The position provides exposure to a full spectrum of duties. As such, the position demands a dedicated individual with excellent attention to detail, facility with numbers, good people skills and the ability to prioritize, multi-task, work independently and solve problems.

Specific Responsibilities

Property Management:

  • Support the team in the daily operations of the property
  • Assist in the coordination of daily activities of all vendors performing work at the site(s)
  • Provide general administrative support for the property management team
  • Accounts receivable and payables
  • Assist PM team with tenant rent, accruals, service contracts, and aging reports
  • Interfaces with tenants on preventative maintenance and work order processing
  • Help maintain certificates of insurance for vendors and tenants
  • Assist in preparation of various client reporting requirements
  • Assist with App Management
  • Assist with Tenant communications
  • Coordinate and attend reoccurring vendor walks for the PM and Elevate teams

Elevate (Longfellow's proprietary tenant experience and hospitality program):

  • Support the Elevate team in event execution and amenity space operations
  • Collaborate with the Elevate team on event requirements
  • Assist with event preparation and execution
  • Assist with ordering amenity supplies and accoutrements as budgeted under the property budgets
  • Assist with client and vendor questions
  • Assist with AV and IT support in amenity spaces

General support and responsibilities:

  • Communicate and work with tenants in a timely and friendly manner
  • Proactively provide ideas and recommendations for property, programming, and tenant experience improvements
  • Assist in creating and proofreading documents created by the Property Management and Elevate teams
  • Assist on various ad hoc projects that arise

Qualifications

  • 2 years of experience in property management support preferred. Willing to consider exceptional candidates directly from undergraduate or graduate school;
  • Bachelor's Degree preferred;
  • Strong customer service skills required;
  • Accounts payable experience is strongly preferred (Yardi experience is a bonus);
  • Individual should possess excellent oral and written communication skills;
  • Must be highly proficient in Microsoft Office;
  • Ability to handle multiple tasks with strong organizational skills;
  • Detail oriented with independent work ethic;
  • Ability to grasp new concepts quickly;
