ABOUT THE ROLE:

We're looking for a Document Control Scanning Technician to join our Quality and Document Control team. In this role, you'll be responsible for supporting the Quality and Document Control team by accurately scanning, organizing, and maintaining both physical and electronic company records. This role plays a critical part in ensuring document completeness, accuracy, and traceability in accordance with internal procedures and regulatory requirements. The position focuses on executing defined scanning and filing activities and is ideal for an entry-level professional with strong attention to detail and a commitment to quality.

Responsibilities

WHAT YOU'LL DO:
  • Scan physical documents into the company network in accordance with approved procedures, ensuring records are preserved accurately and consistently.
  • Perform quality checks to confirm scanned documents are complete, clear, accurate, and legible, supporting reliable documentation and product quality.
  • Verify proper indexing, file naming, and folder placement of electronic records to maintain organized, accessible documentation.
  • Organize, label, and prepare physical documents for secure off-site storage while maintaining careful attention to record integrity.
  • Maintain traceability between physical records and corresponding electronic files to support transparency, accountability, and regulatory compliance.
  • Follow established Document Control and Quality System procedures at all times, demonstrating a strong commitment to quality and doing what is right.
  • Identify and escalate missing, damaged, or illegible documents to Document Control or Quality leadership to ensure issues are addressed promptly and effectively.
  • Support internal and external audits or inspections by locating and retrieving electronic or physical records in a timely and organized manner.
  • Maintain an organized and clean workspace to safeguard document integrity and ensure efficient operations.
  • Collaborate with team members across Quality and Document Control to support departmental priorities and continuous improvement.

Qualifications

WHAT YOU'LL BRING:

Education:
  • High School Diploma or GED preferred.
Experience:
  • Entry-level role: prior experience in document control, records management, scanning, or administrative support preferred but not required.
  • Experience in a regulated environment (medical device, pharmaceutical, or similar) preferred but not required.
Skills/Competencies:
  • Will require periods of repetitive work related to scanning and filing while maintaining focus and consistency.
  • Strong attention to detail and accuracy, ensuring records are reliable and support high standards of quality.
  • Ability to follow written procedures and work instructions with care and accountability.
  • Basic computer skills and comfort using scanning equipment and electronic file systems.
  • Strong organizational and time management skills to maintain orderly, accessible documentation.
  • Dependable and reliable, with the ability to perform repetitive tasks consistently while maintaining quality and precision.
  • Demonstrated commitment to quality, data integrity, and confidentiality when handling sensitive company records.
  • Ability to work independently with minimal supervision while supporting team and departmental priorities.
  • Ability to lift and move document boxes (up to approximately 30 lbs.) as part of routine document management activities.

The compensation package includes:
  • Hourly rate of $23.00/hr-$29.60/hr
  • Discretionary bonus
  • Equity participation as approved by Board of Directors (4-year vesting schedule)
