This role is initially part-time, with the potential to grow into a full-time position based on business needs, performance, and workload.The ideal candidate is flexible, responsive, and adaptable, with the ability to shift priorities quickly in a fast-paced environment. This role requires strong problem-solving skills, independent judgment, and consistent follow-through to keep the advisor focused and moving forward. Must be able to communicate professionally via email and over the phone.Core ResponsibilitiesEmail & Communication ManagementManage the assigned advisors inbox with exceptional attention to detail.Draft, prioritize, and respond to emails on behalf of the advisor as appropriateIdentify urgent matters, deadlines, and risksTrack open items and ensure timely follow-up and resolutionMaintain strict confidentiality with sensitive client and business informationCalendar & Scheduling ManagementProactively manage a complex, high-volume calendarSchedule, reschedule, and coordinate meetings and appointmentsAnticipate conflicts and resolve scheduling issues quicklySend reminders, confirmations, and follow-ups to keep commitments on trackAdministrative & Task CoordinationProvide administrative support dedicated solely to the assigned advisorPrepare, organize, and maintain documents and recordsAssist with data entry, tracking, and administrative reporting related to the advisors workMaintain organized and accurate digital filing systemsProblem Solving, Flexibility & ExecutionIdentify problems, gaps, and inefficiencies and resolve them quicklyAdapt to changing priorities and shifting schedules with minimal disruptionTake ownership of issues and act independently when appropriateExercise sound judgment regarding when to escalate matters to the advisorTrack tasks, action items, and deadlines across multiple prioritiesAccountability & Follow-ThroughProactively follow up to ensure tasks and commitments are completedPush action items forward and flag delays earlyEnsure accuracy, timeliness, and consistency in all support providedQualificationsExceptional attention to detail is requiredStrong problem-solving skills with the ability to act quickly and decisivelyHigh level of flexibility and responsivenessComfortable working independently in a fast-paced, advisor-driven environmentExcellent follow-through, organization, and prioritization skillsStrong written communication skillsHigh level of professionalism, discretion, and judgmentExperience supporting an executive, advisor, or high-demand professional preferredWork SchedulePart-time hours initially, with flexibility required based on advisor needsHybrid role (remote with in-office support as needed)Potential to transition to full-time as workload increasesHours may vary week to weekCompensation & Employment StatusHourly, non-exempt positionEligible for overtime in accordance with California lawCompensation details to be outlined in the offer letterEmployment RelationshipEmployment with AFS is at-will, meaning either the employee or AFS may terminate the employment relationship at any time, with or without cause or notice, in accordance with applicable law.
