Accounting - Accounts Payable/Purchasing Specialist

Essential Duties and Responsibilities

Accounts Payable
• Enter and verify invoices, ensuring accurate purchase order matching and proper general ledger coding
• Maintain complete and accurate vendor records
• Communicate with internal departments and vendors to resolve discrepancies in a timely manner
• Process 1099 forms for recipients annually
• Verify departmental inventory records
• Assist with month-end close activities and account verifications

Purchasing
• Maintain organized and up-to-date purchasing and receiving records
• Generate and process purchase orders accurately and promptly; resolve discrepancies as needed
• Collaborate with departments to ensure adherence to budget guidelines
• Address and resolve supplier quality issues promptly
• Receive and inspect incoming shipments for accuracy and condition
• Support special projects as assigned

Qualifications

Education & Experience
• Associate's degree (A.A.) or equivalent from a two-year college or technical school
• Minimum of two years related experience and/or training, or an equivalent combination of education and experience

Skills & Competencies
• Strong ability to read and interpret documents, prepare routine reports, and write professional correspondence
• Effective verbal communication skills, including the ability to present information when required
• Proficiency in accounting principles and mathematical calculations (discounts, interest, commissions, and percentages)
• Proficient in Microsoft Excel, MS Office Suite, and accounting software
• Strong organizational skills with attention to detail and accuracy

Physical Requirements
• Regularly required to sit and use hands to handle or feel objects
• Ability to lift and/or move up to 10 pounds
• Close vision required for data entry and document review
