Job Status: Full-Time, Salaried Exempt

Pay Range: $90,000 - 110,000/year

Hours: Monday - Friday 8:00am - 5:00pm

Position Overview

The Payroll Manager will oversee the payroll department, guiding the payroll team, enhancing processes, and leading cross-functional projects to support our business goals. This role involves managing all aspects of payroll strategy, compliance, and reporting, while also identifying opportunities for improvement and implementing scalable payroll solutions. The Payroll Manager will report directly to the Director of People and serve as a strategic partner to Finance, HR, and other business leaders.

Key Responsibilities

  • Strategic Payroll Management
  • Lead the payroll function for the company, ensuring timely and accurate payroll processing for all employees, including complex payroll situations such as executive compensation and bonuses.
  • Develop, implement, and manage payroll policies and procedures to maintain compliance and optimize efficiency.
  • Collaborate with Finance and HR leadership to align payroll strategy with business goals, providing insights to support financial planning and budget forecasting.
  • Compliance & Risk Management
  • Oversee compliance with all applicable federal, state, and local laws, including California wage and hour regulations, tax filings, and labor laws.
  • Lead internal payroll audits and manage responses to external audits, identifying areas of risk and implementing corrective actions.
  • Serve as a subject matter expert on payroll regulations, keeping abreast of changes in tax laws, wage requirements, and reporting obligations, and adjusting policies as needed.
  • Team Leadership & Development
  • Manage, mentor, and develop the payroll team, including hiring, training, performance management, and succession planning.
  • Foster a collaborative, high-performing team culture by setting clear expectations, offering coaching, and recognizing team accomplishments.
  • Develop and implement training programs to ensure payroll team members are knowledgeable about industry best practices and compliance requirements.
  • Systems Optimization & Process Improvement
  • Oversee payroll system upgrades, data integrations, and troubleshooting in partnership with IT, identifying opportunities to enhance system functionality and automation.
  • Lead projects to improve payroll workflows, reduce manual processes, and implement best practices in payroll operations.
  • Evaluate and select payroll vendors, as necessary, to ensure high-quality service and cost-effectiveness.
  • Data Analysis & Reporting
  • Prepare, analyze, and present payroll data and metrics to leadership, providing insights on labor costs, overtime, tax implications, and payroll trends.
  • Utilize data analytics to support decision-making on staffing, labor costs, and payroll budget planning.
  • Implement advanced reporting tools to track payroll KPIs, streamline reporting, and enhance transparency for stakeholders.

Qualifications

Education & Experience: Bachelor's degree in Accounting, Finance, or Business Administration; CPP certification required and/OR minimum of 7-10 years of payroll experience, including at least 3 years in a payroll management role.

Knowledge: Expertise in California payroll laws, federal labor regulations, and payroll tax compliance; experience managing payroll for multiple locations and multi-state payroll is a plus.

Technical Skills: Advanced knowledge of payroll software systems and proficiency in Excel and data reporting tools.

Leadership Skills: Proven ability to lead and develop a team, manage high-stakes projects, and partner effectively with cross-functional leaders.

Analytical Skills: Strong data analysis and problem-solving skills, with an aptitude for translating complex payroll data into actionable insights.

Salary Range

Salary Range: The base salary range for this position is $90K – 110K, DOE.

The actual base salary offered depends on a variety of factors, which may include, as applicable, the applicant's qualifications for the position; years of relevant experience; specific and unique skills; level of education attained; certifications or other professional licenses held; other legitimate, non-discriminatory business factors specific to the position; and the geographic location in which the applicant lives and/or from which they will perform the job.
