Position PurposeThe Receptionist is responsible for providing excellent customer service to Tribal Citizens, elected tribal officials, all FIGR employees, and other outside guests and/or vendors. The receptionist will efficiently answer and re-direct a high volume of calls to the appropriate department and will perform other administrative and clerical tasks. Essential Duties, Functions & Responsibilities

  • Answers phones promptly and professionally; transfers calls to appropriate staff members.
  • Meets and greets customers and visitors; ensures that visitors sign in and out.
  • Assist visitors as needed while creating an inviting, professional atmosphere.
  • Receives and signs for certified mail, packages, forms, applications, and other items, logs, date stamps and routes items to appropriate staff.
  • Ensures adequate levels of office supplies are ordered, stocked, and organized in appropriate areas; maintains ink and toner supply for copy machines.
  • Maintains cleanliness, and neatness of lobby and first floor shared areas.
  • Works with administrative staff in multiple departments to coordinate visitor and vendor schedules.
  • Keeps shared room calendars up to date with appointments.
  • Updates security on daily office schedules and appointments.
  • Copies, faxes, and scans confidential information.
  • Prepare mailing and shipping labels.
  • Works with administrative staff and supervisor on special projects and mailing; prepares mailing and shipping labels.
  • Perform other duties as assigned.

Requirements

Minimum Mandatory QualificationsExperience
  • One (1) year of proven work experience as a receptionist, front office, or similar role.
Education
  • High School diploma or equivalent (GED)
License/Certification:
  • Must possess a valid driver's license and be insurable under the Tribe's policy.

  • Ability to work independently within established policies, procedures, and schedules.
  • Ability to exercise sound judgement and possess problem-solving skills involving variables in standardized situations and the ability to make decisions that are varied, and, in many cases, when there is no precedent to draw upon.
  • Ability to establish and maintain strong interpersonal relationships with employees at all levels throughout an organization and to lead, create and promote a positive and supportive work environment.
  • Ability to maintain strict confidentiality and exercise discretion, particularly regarding sensitive or confidential personnel or organizational matters.
  • Ability to work efficiently and effectively when in high-pressure situations and under deadlines.
  • Ability to interact in an honest, trustworthy, and respectful manner with FIGR Tribal Citizens, Tribal Council and other officials, employees, visitors, and vendors.
  • Ability to master and effectively use the database and software systems used at FIGR.

  • Demonstrate excellent verbal and written communication skills.
  • Demonstrate accuracy and thoroughness, with the ability to monitor own work to ensure quality.
  • Demonstrate a record of satisfactory performance in all prior employment as evidenced by positive employment references from previous employers.
  • Demonstrate strong cultural sensitivity and ability to work effectively within a Native American tribal government environment.
  • Knowledge and experience with Microsoft Office Suite, including Microsoft Word, Excel, PowerPoint, etc.
  • Successful clearance of all pre-employment testing, background, and credit checks.
  • Ability to perform other duties as assigned.
