JOB SUMMARY

The Receiving Officer is responsible for verifying and processing all incoming goods to ensure they meet the hotel's established standards, procedures, and purchase specifications. This role plays a key part in maintaining accurate inventory records and ensuring timely documentation to support payment and reconciliation processes.

ESSENTIAL JOB RESPONSIBILITIES

  • Receive and verify goods against approved purchase orders issued for various departments.
  • Ensure that received items do not exceed the permissible overage limits and comply with the hotel's quality and specification standards.
  • Coordinate with suppliers and internal departments to facilitate the proper handover and documentation of goods.
  • Collect and verify delivery receipts, ensuring consistency in price, quantity, and product specifications with the purchase orders.
  • Log all received items into the inventory tracking system by the end of each shift, without making unauthorized adjustments to orders.
  • Immediately notify department heads of any discrepancies such as short deliveries, damages, or incorrect items.
  • Review and validate incoming invoices for legal compliance and ensure optimal accuracy for payment processing.
  • Maintain organized records of all receiving documentation for audit and reconciliation purposes.
  • Collaborate with the Purchasing and relevant departments to ensure smooth inventory flow and communication.

REQUIRED QUALIFICATIONS:

  • Bachelors Degree in Accounting, Finance, or related fields preferred
  • Minimum of 2 years of experience in a similar position, preferably in the hospitality industry
  • Proficiency in Microsoft Excel and inventory management systems
  • Strong attention to detail and organizational skills
