Description:

Inversion Summits is a boutique investment summit business hosting a few upscale summits per year in various locations for investment professionals across the alternatives industry.


The Administrative Assistant - Investor Relations will be part of the Inversion Summits team, directly assisting the CEO, Director of Investor Relations, and Investor Relations Associate.


We are seeking a proactive, detail-oriented individual with incredible organizational and communication skills. This person MUST have prior experience as an admin in the financial industry.


This job is completely remote but requires in-person attendance at each of our summits per year. Candidates must be able to travel abroad.


Key Responsibilities:

  • Manage team calendars, schedule appointments, and coordinate meetings
  • Manage email correspondence
  • Use a CRM system or lead management tools to maintain accurate and up-to-date records of inquiries and requests from LPs and GPs
  • Develop and maintain a library of templates for commonly used communication materials
  • Coordinate the logistics of panelists and speakers, including managing travel and accommodations, coordinating schedules, and ensuring a seamless and professional event experience
  • Prepare and distribute event invitations, confirmations, and other communications, ensuring that all attendees are informed and prepared
  • Organize and maintain LPs/GPs files, documents, and other materials, ensuring that they are easily accessible and up-to-date
  • Design and create forms for various purposes, including surveys, feedback forms, and data collection
  • Manage attendee lists and ensure that all attendees have been properly registered and uploaded
  • Send out notifications and reminders to attendees
  • Perform other related duties as required


Required Education & Experience:

  • Bachelors degree
  • 5+ years of work experience as an admin in the financial industry

  • A quick worker, who can multi-task as appropriate and knows when to hustle
  • Extremely strong organizational and time-management skills
  • Strong email and tech skills
  • Strong analytical, critical reasoning, and problem-solving skills
  • A people person who enjoys relationship-building
  • Ability to work independently as well as part of a team
  • Expertise using Microsoft Outlook
  • Strong written communication skills
  • Ability to travel as needed
