The Executive Associate provides research, development, delivery, and coordination of processes and system solutions, improving administrative effectiveness in the organization. The Executive Associate provides administrative oversight of various functions for the CEO and performs a wide range of complex administrative, clerical, and solution centered duties. This role works collaboratively with Senior Leadership, key stakeholders and the Board of Directors in support of Marin Community Clinics (MCC) mission and objectives, supporting material compliance with applicable local, State and Federal Regulatory requirements.


Responsibilities:

  • Research, develop, coordinate and facilitate administrative processes and systems identified and/or approved by the CEO that improve administrative functioning, efficiency, compliance and risk management.
  • Apply knowledge of healthcare administration, regulations and trends while triaging emerging issues, communications and requests for CEO. Assist in prioritizing, expediting, responding and following up.
  • Provide administrative support to CEO, reviewing and expediting contracts, analyzing data and dashboards, and preparing executive summaries of key organizational metrics and process improvement activities/results.
  • Act as Board of Directors (Board) Liaison, collecting, preparing and distributing required documentation and communication. Attend and document minutes of Board and committee meetings, consistent with regulatory agency requirements. Assist in reviewing and revising Board/governance policies and procedures.
  • Attend and document Executive/Senior Leadership and other identified meetings. Provide follow/up on action items as needed for purposes of accountability.
  • Assist in redesign, support, monitoring and evaluation of safety, risk management, and emergency preparedness programs.
  • Gain and maintain knowledge of Heath Resources and Services Administration (HRSA) and other applicable Local, State and Federal regulatory agency requirements for Federally Qualified Health Centers (FQHCs), assisting in the building and sustaining of appropriate systems and documentation as well as preparedness for audits.
  • Support MCCs Pharmacy program development and compliance with 340B policies and procedures consistent with regulatory requirements.
  • Liaison with National Association of Community Health Centers (NACHC) and other applicable organization on MCCs behalf.
  • Work independently and in collaboration with MCC Compliance leadership to ensure MCC meets all applicable regulatory requirements.Cover for Executive Assistant during absences, providing general administrative and clerical support to the CEO and executive/senior leadership team.
  • Leads and/or participates in applicable teams, committees and work groups.
  • Prepare and update functional organizational charts to aid in organizational planning.
  • Other projects and duties as needed.

Education and Experience:

  • Masters in Healthcare Administration or comparable Masters in healthcare management.
  • 3-4 years high level support of executive healthcare leaders.
  • Knowledge and experience developing and working with executive level financial and clinical principles and processes.
  • Experience creating detailed executive analyses and reports that highlight solutions and appropriate actions.

  • Advanced Microsoft suite skills (Outlook/Office, Excel, Word, Power Point).
  • Demonstrated attention to detail, delivering accurate, timely and professional work product.
  • Strong analytic and problem-solving skills.
  • Must be able to work in a rapidly evolving environment, manage priorities and meet deadlines.
  • Must possess strong organizational and project management skills.
  • Excellent time management skills and follow through on project deadlines.
  • Valid CA Drivers Licence.

Physical Requirements and Working Conditions:

  • Must be able to work in person, on-site, occasional schedule changes.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Use of mouse and keyboard.
  • Must be able to lift up to 15 pounds at times.
  • Occasional travel to our clinics and other locations.
